7 Best Expensify Alternatives (2026), Priced for 15 People

Seven Expensify alternatives priced for a team of 15 against Expensify's $75 a month, and which one fits each reason to leave. Confirmed 30 October 2026.

Some links here are referral links, and where a provider gives our readers a better price than its own site, that is the price you get by using one. It costs you nothing extra, and every option here is judged on the same test either way.

7 Best Expensify Alternatives (2026), Priced for 15 People

Expensify's Collect plan costs $5 a member a month. For 15 people who file expenses that's $75 a month, or $900 a year, before the discounts it gives for a yearly commitment and for using the Expensify Card. Per head it isn't a lot, which is why the bill is only one of the reasons people look around. The others are company cards with limits set before anyone spends, travel booked in the same app, and a team paying in several currencies.

So I've priced seven alternatives for the same 15 people, on the plan that does Collect's job of scanning receipts, routing approvals, paying people back and syncing to your accounting software. Each one's monthly bill sets the order, and each section names the reason to leave that it answers best.

Two of the seven cost nothing per user, because they earn from the cards your team spends on instead. You have to qualify for those cards, though, and Ramp, for one, wants a US company to hold $25,000 in a US business bank account. Three others cost more than Expensify at 15 people, and they're here for travel, currencies or prepaid limits rather than the bill.

I haven't run a month of expense claims through all seven, so there are no scores out of ten here. What I've worked out instead is each one's bill for 15 people next to Expensify's, who can sign up, and three questions at the end that pick one for you.

How I ranked them

Every tool had to pass the same three checks before it could be ranked. Then one number, the monthly bill for 15 people, set the order.

The three checks every alternative had to pass
01

Does Expensify's whole job

Receipt scanning, approvals, paying people back and a sync to accounting software, on one plan. A receipt scanner on its own doesn't replace Expensify's Collect plan.

02

Priced for 15 people

I priced the plan that does that job for 15 people who file expenses, billed monthly, as each company shows it to US visitors. Where a company quotes instead, I say so.

03

Better than Expensify at something

A smaller bill, company cards with limits, travel in the same app, cards in several currencies, prepaid limits, or expenses inside your HR system.

Expensify's own price sits at the top of the table as the line to beat. If only three people claim in your company, two of the seven are free at that size, and the questions at the end take your team's size into account.

Let's start with Expensify's own bill, because every row below is measured against it. Fifteen people on Collect cost this much a month.

Expensify's Collect plan is $75 for the same 15 people. Ramp and BILL earn from their cards, so you need to qualify. Airwallex's platform fee isn't shown on its page. Soldo bills UK teams in pounds, here for 15 users and 15 cards.← scroll sideways on a narrow screen →

Three of the seven cost less than Expensify for 15 people, two of them nothing at all if your company qualifies. The other four cost more or quote, and earn their place on travel, currencies, prepaid cards or HR.

The table counts only the software bill. If your team spends on a company card, what that card costs or pays back matters as well. Expensify's own card pays 1% cash back on US purchases and 2% once monthly spend passes $250,000, so check what you'd give up before you move a busy card programme.

1. Ramp - $0 a user, if your company qualifies

Ramp is first because its Free plan charges $0 a user, so 15 people cost nothing against Expensify's $75. You get unlimited physical and virtual cards, receipts collected and matched to each purchase, and expenses finished by text message or in Slack. Ramp's paid plan is $15 a user plus a platform fee.

Who can sign up is the part to read closely. In the US, Ramp says your company must be a corporation, LLC or LP registered in the US, with at least $25,000 in cash in a US business bank account. Ramp now sells in the UK too, where its Free plan is £0 a user and its charge cards are subject to approval.

Ramp

Ramp

Ramp's Free plan costs $0 a user, so 15 people pay nothing against Expensify's $75 a month, with unlimited cards and automatic receipt matching.

Ramp describes its UK cards as charge cards, and that's worth understanding before you move. A charge card is paid off in full each cycle rather than carried as a balance, so the company account has to cover the whole month's spend when the payment is taken. For a business that already pays its cards in full, that changes nothing.

So Ramp suits a US or UK company with the cash to qualify that wants its expense software for nothing. If you'd rather have a credit line on the card, the next pick is built around one.

2. BILL Spend & Expense - free software, with a credit line

BILL Spend & Expense also costs $0 a user. BILL says it has no subscription and no per-user fees, and you get as many physical and virtual cards as you need, budgets with limits set before people spend, and receipts captured and matched by AI. It used to be called Divvy, and the card is still issued through Divvy Pay.

Where it differs from Ramp is the credit line. BILL offers lines from $1,000 to $5 million, decided when you apply and not guaranteed. The application asks for a US Tax ID (an EIN), so this one is for companies set up in the US.

BILL Spend & Expense

BILL Spend & Expense

BILL Spend & Expense has no per-user fee, so 15 people cost $0 against Expensify's $75, and its cards come with credit lines from $1,000 to $5 million.

So BILL is the one to try if you're in the US and a credit line matters more to you than who issues the card. If neither Ramp nor BILL will take your company, or you'd rather keep the cards you have, the next pick is the one I'd start with.

3. Zoho Expense - $4 a user, with the cards you already have

Zoho Expense is the cheapest alternative here that anyone can start on, wherever the company is registered and whoever it banks with. Its Standard plan is $4 a user a month, $60 for 15 people, which is $15 a month less than Expensify's Collect. Billed yearly it's $3 a user, $45 a month, or $360 a year less than Collect.

It doesn't ask you to switch cards. Standard feeds in the Visa and Mastercard cards your team already uses, sets several expense policies, and scans 200 receipts a user each month. If three people or fewer file expenses, Zoho Expense is free, with 20 receipt scans each a month, and the paid plans start with a 14-day trial that doesn't need a card.

My recommendations on Zoho Expense's plans

Starting out? For 15 people, start on Standard. At $60 a month it brings in your existing company cards and scans 200 receipts a person, $15 a month less than Expensify's Collect.

Growing or switching? Move to Premium, $6 a user, $90 for 15 people, when your team books its own travel and you want live budgets and per diems.

Next to Expensify? Expensify's Collect plan is $5 a member, $1 more than Standard, and includes travel booking. Zoho lists self-booking on Premium, with a travel add-on at $9.99 a trip.

Every plan includes AI receipt scanning, expense reports, multi-currency expenses and accounting integrations.

you'll go to zoho.com

Zoho Expense gives you the lowest bill here without moving your spending onto a new card. That matters more than it looks. Ramp and BILL are free because their cards earn, so you change who issues your cards to get the price. With Zoho you keep the bank you have, and the saving on Expensify comes from the subscription alone.

Zoho shows prices in the local currency outside the US, and the dollar prices here are from its US price list. If your team books trips more than it files receipts, though, the next pick is built for travel first.

The last four cost more than Expensify for 15 people, or quote, and each beats it at one thing. Navan's is travel. Its Business plan books flights and hotels with no limit on trips for companies of up to 300 employees, and Navan says that's paid for by the travel companies' commissions rather than by you.

Its expense tool is free for the first 5 people who submit an expense in a month, then $15 a user. For 15 claimers that's $150 a month, $75 more than Expensify. If only 5 people claim in a month, though, Navan costs nothing.

Navan

Navan

Navan books trips free for companies of up to 300 employees, and its expense tool is free for 5 people a month, then $15 a user, $150 for 15.

So Navan's for a company whose expenses are mostly trips, where booking and claiming in one app saves the most time. If your team's spending crosses borders in a different way, paying suppliers and staff in several currencies, the next pick is built for that.

5. Airwallex - company cards in several currencies

Airwallex is a business account first, with expenses built on top. Its Explore plan is free for up to 10 Spend users, with multi-currency company cards, no international card fees, receipt data read automatically, reimbursements to staff in more than 200 countries, and a sync to Xero and QuickBooks.

Past 10 users you move to Grow, $12 a user plus a platform fee Airwallex doesn't show, so 15 people cost at least $180 a month. Currency conversion is 0.5% above the interbank rate for major currencies and 1% for the rest.

Airwallex

Airwallex

Airwallex is free for up to 10 Spend users with multi-currency cards and no international card fees; at 15 users Grow is $12 each plus a platform fee.

The 10-user line is the thing to plan around. A team of 9 pays nothing for the expense side, and the 11th person moves everyone onto Grow. If your company is in the UK and you'd rather give staff prepaid cards with fixed amounts on them, the next pick does exactly that.

6. Soldo - prepaid cards for UK and European teams

Soldo gives each person or team a prepaid card loaded with a set amount, so nobody can spend more than you've put on it. It bills UK teams in pounds. For 15 users with 15 cards, its Standard plan comes to £135 a month plus VAT, and Plus, which adds receipt reading by OCR, wallets for team budgets and multi-currency spending, is £195.

Soldo

Soldo

Soldo's Standard plan is £135 a month plus VAT for 15 users and 15 prepaid cards, each card holding only what you load onto it.

For European teams two more names come up. Pleo's Start plan is £8 a user a month, billed monthly, with physical and virtual cards. Spendesk gives quotes rather than prices and says it charges no fee per active user. I haven't ranked either, because Soldo answers the same need with a price you can read for 15 people.

If what you really want is expenses inside the system that already runs your payroll and HR, the last pick is built that way.

7. Rippling - expenses inside your HR and payroll

Rippling is last because it doesn't show a price. It sells HR, payroll, IT and finance tools as separate products on top of its core platform, which you have to buy, and it sends each company a quote. Most of its products are billed per employee a month, and some carry a monthly base fee.

Rippling

Rippling

Rippling quotes per employee, with its core platform required, and puts each person's expenses on their employee profile beside payroll and HR.

So Rippling is for a company that has already chosen it for people and payroll and wants expenses in the same place. For anyone choosing an expense tool on its own, the six above it show their price.

Who should stay on Expensify

Expensify is still a good answer for some teams, and moving costs time. Its free Submit plan lets anyone scan receipts and file reports without a company account, and Collect, at $5 a member, includes travel booking with rules, which Zoho Expense keeps for its Premium plan.

If your team spends a lot on the Expensify Card, count the cash back before you leave. It's 1% on US purchases, and 2% once your monthly spend passes $250,000, which for a busy card programme can be worth more than the $75 the software costs 15 people. Expensify also discounts Collect for a yearly commitment and for using its card, so your own price may be under $5 a member.

Before you switch, keep your receipts

Whichever tool you move to, export your old reports and receipts from Expensify before you close the account. In the US, the IRS generally wants a receipt or a bill for business expenses, and only lets you skip one for an expense under $75 that isn't lodging. So a hotel bill always needs its receipt, and so does a $90 client dinner.

All seven tools scan receipts, so the habit moves with you. What doesn't move by itself is the history, and that's the part an auditor asks for. If a scanner is all you need rather than a whole expense tool, I've grouped nine receipt scanner apps by where the receipts end up.

So which one should you move to?

All seven do Expensify's core job of scanning receipts, approving claims and paying people back. What separates them is the bill for your team, whose cards you spend on, and whether your company can sign up at all.

My pick for most teams leaving over the bill: Zoho Expense, because it's $15 a month less than Expensify for 15 people, works in any country and keeps your cards. If your company is in the US or the UK and qualifies, take Ramp and pay nothing per user, or BILL Spend & Expense in the US if you want a credit line.

If travel is most of your spending, Navan books it free. Teams paying in several currencies should look at Airwallex, UK teams that want prepaid limits at Soldo, and companies already on Rippling for payroll at Rippling.

Still between two? The three questions below ask where your company is registered, why you're leaving Expensify and how many people file expenses, and they'll give you one tool with the reason behind it.

For 15 people Zoho Expense costs $60 a month, $15 less than Expensify's Collect, and works with your own cards in any country.

The trade-off: A US or UK company that passes Ramp's checks can pay nothing per user on Ramp's Free plan instead.
