9 Best Receipt Scanner Apps for Small Business (2026)
Nine receipt scanner apps grouped by where receipts need to go: a tax folder, QuickBooks or Xero, a bookkeeper or company cards. Prices as of 30 Oct 2026.
Some links here are referral links, and where a provider gives our readers a better price than its own site, that is the price you get by using one. It costs you nothing extra, and every option here is judged on the same test either way.
Getting a phone to read a receipt is the easy part now. Most of the nine apps here pull the shop, the date and the amount off a photo. What decides which one you want is where that receipt goes next: a folder you open at tax time, QuickBooks or Xero, your bookkeeper, or the company card it was paid with.
So I've grouped the nine by where your receipts end up, and inside each group they're in order of what a business of up to five people pays a month. Prices are in US dollars, billed monthly, as each company shows them to US visitors, and I've noted in each section where the free plan stops.
That last part matters more than it sounds, because a free scanner and a free sync aren't the same thing. Expensify reads receipts without a limit for nothing, but sends them to QuickBooks or Xero only on its $5 plan. Zoho Expense sends them for free, up to 20 scans a person each month.
I haven't run a year of receipts through all nine, so there are no scores out of ten. Each app gets its price for a small business, the point where its free plan runs out, and who it suits. Three questions at the end pick one for you.
How I ranked them
Every app had to pass three checks. Then the monthly price for a business of up to five people set the order inside each group.
Reads the receipt
A photo, upload or email has to become an expense with the amount, date and shop filled in, not just a picture in a folder.
Sends it somewhere useful
Into accounting software, to a bookkeeper, or against the card purchase it belongs to, so nobody types it in twice.
Shows a price
A price a small business can see before talking to sales, or a free plan. Where a company quotes instead, I say so.
The three groups are receipt apps on their own, accounting software that reads receipts itself, and company cards that collect the receipt when the card is used.
The nine, side by side
Read the table left to right, the way the choice goes: what's free, what the paid plan costs, where the receipts go after that, and who each app suits.
Each receipt app's free plan, its first paid price and where it sends the receipts it reads.

Five of the nine read receipts for $0 in some form. Zoho Expense and Ramp also send them to QuickBooks or Xero for nothing, Ramp only if your company qualifies for its cards.
If your books are already in QuickBooks or Xero, read the accounting group before you pay for anything. You may already have a scanner in the plan you're on.
If you want receipts read and filed
These three turn a pile of receipts into expenses someone can approve or a bookkeeper can post. Zoho Expense and Expensify are built for the people spending, and Dext for the person doing the books.
1. Zoho Expense - free for three, with the sync included
Zoho Expense ranks first because its free plan does the whole job for a small business. Up to 3 people can each scan 20 receipts a month, file reports and log mileage by GPS, and Zoho sends approved expenses to QuickBooks Online, Xero or Zoho Books. You don't pay anything until a fourth person needs to claim.
After that, Standard is $4 a user a month, $20 for five people, or $3 a user billed yearly. It raises the limit to 200 scans a person a month and feeds in the Visa and Mastercard cards you already use. If someone goes over their scans, they can still upload the receipt and type the amount in.

Zoho Expense is free for up to 3 people, with 20 receipt scans each a month and approved expenses sent to QuickBooks Online, Xero or Zoho Books, and Standard is $4 a user after that.

My recommendations on Zoho Expense's plans
Starting out? Start on Free if three people or fewer claim. Each gets 20 scans a month, and the sync to QuickBooks Online, Xero or Zoho Books is included.
Growing or switching? Move to Standard, $4 a user a month, when a fourth person claims or 20 scans a month runs out. It's $20 for five people and brings in your company card feeds.
Next to Expensify? Expensify scans without a limit for free, but its QuickBooks and Xero sync is on Collect at $5 a member. For five people that's $25 a month, against $20 on Zoho Expense Standard.
Every plan includes AI receipt scanning, expense reports, multi-currency expenses and accounting integrations.

Start on Zoho Expense's Free plan
Zoho's support answers by phone or email, 24 hours a day, Monday to Friday.
you'll go to zoho.com
Zoho Expense is the one I'd start a small team on, because its free plan isn't a trial in disguise. Three people, 60 scans a month between them and the accounting sync cost nothing, and the step up is $4 a head rather than a jump to a bigger plan.
So Zoho Expense suits an owner with a couple of staff who claim expenses and want them in the books without retyping. If you only claim your own expenses and don't need the sync, the next app scans for free with no limit at all.
2. Expensify - unlimited free scanning, if you claim alone
Expensify's SmartScan is the receipt reader most people have heard of, and it's free with no scan limit. Expensify says individuals can use it at no cost, and its free Submit plan covers receipt scanning, mileage, expense reports and importing your personal card. You don't need a company account to start.
For a business, the catch is the sync. QuickBooks and Xero integrations are on Collect, $5 a member a month, which also adds reimbursements, approvals and card management. For five people that's $25 a month, $5 more than Zoho Expense's Standard plan.
Expensify
Expensify scans receipts with SmartScan for free and without a limit, and its QuickBooks and Xero sync is on Collect at $5 a member a month.
If you only need your own receipts read: Expensify
Expensify is the easiest free scanner for one person claiming their own expenses. SmartScan reads each receipt, and the Submit plan builds reports without anyone setting up a company account. Sending those expenses to QuickBooks or Xero needs Collect, at $5 a member a month.
Where it stands out
- Unlimited SmartScans for individuals, free
- Reports and mileage on the free Submit plan
- QuickBooks and Xero sync on Collect
Buy it if
- You claim your own expenses and want them read
- You'd rather not set anything up for a company
Skip it if
- You want the accounting sync without paying per person
- Several people need approvals, where Zoho Expense is $4 a user
Need the sync for free? Zoho Expense
Zoho Expense's free plan covers three people and includes the sync to QuickBooks Online, Xero or Zoho Books, with 20 scans each a month.
So Expensify is the free scanner for someone filing their own expenses, and Collect makes sense once a team needs approvals and the sync. If leaving Expensify is what brought you here, I've priced seven Expensify alternatives for a team of 15. If it's your bookkeeper who needs the receipts, the next app is built for them.
3. Dext - receipts read for whoever does your books
Dext is for a business where someone else keeps the books. You or your staff photograph or upload receipts and supplier bills, Dext reads them, and they land in your accounting software already coded. Dext says 12,000 accounting and bookkeeping firms use it, so there's a fair chance your bookkeeper already works in it.
It costs $31.50 a month for 250 documents and 5 users, or $25.21 a month billed yearly ($302.50 a year). There's no free plan, only a 14-day trial. Past 250 documents in a month, Dext still stores what you upload but doesn't read it until your next billing date.
Dext
Dext reads 250 receipts and supplier bills a month for 5 users, at $31.50 a month, and sends them coded to your accounting software.
If a bookkeeper does your books: Dext
Dext is a receipt reader built for bookkeepers and the businesses they look after. Receipts and supplier bills go in by photo or upload and come out coded in your accounting software. At $31.50 a month it costs more than an expense app, and it reads bills as well as receipts.
Where it stands out
- 250 documents a month for 5 users
- Receipts and supplier bills, coded for your books
- A 14-day free trial
Buy it if
- A bookkeeper or accountant does your books
- You get supplier bills as well as receipts
Skip it if
- You want a free plan
- Staff need approvals and reimbursements, where Zoho Expense fits
Want staff claims too? Zoho Expense
Zoho Expense is $4 a user a month, $20 for five people, with approvals, reimbursements and a sync to QuickBooks Online or Xero.
Ask your bookkeeper before you sign up, since the point of Dext is that receipts land where they already work. If you don't have accounting software at all yet, the next group reads receipts straight into the books.
If you need accounting software too
If your books already live in QuickBooks Online or Xero, check what you pay for before adding an app. QuickBooks lists receipt capture on every plan from Simple Start, which is $38 a month, and Xero's Early plan, $27 a month, includes Smart Document Capture. Xero keeps employee expense claims for Established at $97, so a team that claims expenses may still want Zoho Expense on top.
If you don't have accounting software yet, these three read receipts straight into the books, so the scanner and the ledger come on one bill.
4. Zoho Books - free books with 50 scans a month
Zoho Books is free for a business with revenue under $50,000 a year, for one user plus your accountant, and the free plan reads 50 receipts and documents a month. That's more free scans than the other two accounting apps here, and your invoices, books and receipts sit in one place.
Standard is $20 a month, or $15 billed yearly, with 200 scans. On the free plan, the limits to watch are one user, 1,000 invoices a year and the revenue cap. If you need more than 50 scans, Zoho sells another 50 a month as an add-on.
4Free books, 50 scans a month
Zoho Books
Why it ranks here
Zoho Books is free for businesses with revenue under $50,000 a year and reads 50 receipts a month into the same books you invoice from.
- Free planRevenue under $50,000 a year, 1 user plus your accountant
- Receipt scans50 a month on Free, 200 on Standard
- Standard$20 a month, $15 billed yearly
- Invoices on Free1,000 a year
you'll go to go.zoho.com
So Zoho Books suits a one-person business under $50,000 that wants receipts and invoices in one free app. Businesses in the US and Canada have a cheap way to capture every receipt, and it comes next.
5. Wave - unlimited receipts for $8 a month, in the US and Canada
Wave's Starter plan is free accounting and invoicing, and receipts are an add-on at $8 a month, or $72 a year, for unlimited capture. Pro, $19 a month, includes the receipts and adds bank transactions imported and sorted for you. Wave is built for businesses in the US and Canada.
Wave
Wave's free Starter plan adds unlimited receipt capture for $8 a month, and Pro at $19 a month includes it.
If every receipt should land in your books: Wave
Wave is free accounting with unlimited receipt capture for $8 a month. The receipts go into the same books as your invoices, and Pro at $19 a month adds automatic bank imports. It's for businesses in the US and Canada.
Where it stands out
- Free Starter plan for books and invoices
- Unlimited receipts for $8 a month, or in Pro
- Pro at $19 a month imports bank transactions
Buy it if
- You're based in the US or Canada
- Every receipt should be captured, not just 50 a month
Skip it if
- Your business is elsewhere, where Zoho Books is free under $50,000
- Staff need to claim expenses and get approvals
Outside the US or Canada? Zoho Books
Zoho Books is free for revenue under $50,000 a year, with 50 receipt scans a month.
So Wave is the cheapest unlimited receipt capture inside accounting software here, if your business is in the US or Canada. If you bill clients for your time, the next one is built around invoices.
6. FreshBooks - for freelancers who invoice clients
FreshBooks is accounting built around invoicing clients, and receipt scanning starts on its Plus plan, $43 a month for up to 50 clients. Plus reads receipts automatically and lets you email them straight into your account. Lite, at $23 a month, tracks expenses but doesn't list receipt scanning.
On 30 October FreshBooks was taking 80% off the first four months, which brings Plus to $8.60 a month for that time. Each team member you add costs $11 a month, and the 30-day trial doesn't need a card.
6Receipts beside your client invoices
FreshBooks
Why it ranks here
FreshBooks reads receipts and takes them by email from its Plus plan, $43 a month, in the same app you invoice clients from.
- Receipt scanningFrom Plus, $43 a month
- Receipts by emailOn Plus
- Clients on PlusUp to 50
- Team members$11 a month each

So FreshBooks suits a freelancer or a small agency that already thinks in clients and invoices. If your team spends on company cards instead, the last group collects the receipt when the card is used.
If your team spends on company cards
Company cards change how receipts get in. The card purchase arrives first and the receipt is matched to it, so nobody types an amount and nobody matches a statement by hand at the end of the month.
7. Ramp - $0 a user, receipts matched by text
Ramp's Free plan costs $0 a user, with unlimited physical and virtual cards. Each purchase waits for its receipt, which staff send by text message or in Slack, and Ramp matches the two and sends them on to your accounting software, Xero and QuickBooks among them.
You have to qualify for the cards. In the US, Ramp wants a corporation, LLC or LP registered there with at least $25,000 in a US business bank account. In the UK its Free plan is £0 a user, with charge cards subject to approval.
Ramp
Ramp's Free plan costs $0 a user and matches each receipt to its card purchase, by text or Slack, for US and UK companies that qualify.
If your US or UK company can qualify for its cards: Ramp
Ramp is free expense software paid for by its own cards. Receipts are matched to each card purchase, by text or Slack, and sent to your accounting software. In the US you need a registered company with $25,000 in a US business bank account. In the UK, its cards are subject to approval.
Where it stands out
- $0 a user on the Free plan
- Receipts matched to card buys by text or Slack
- Unlimited physical and virtual cards
Buy it if
- Your company is registered in the US or the UK
- Most spending can go on Ramp's cards
Skip it if
- Your company is registered elsewhere
- Staff mostly pay with their own cards and claim it back
Keeping your own cards? Zoho Expense
Zoho Expense is free for up to 3 people and $4 a user after that, and its Standard plan feeds in your existing Visa and Mastercard cards.
So Ramp is the pick for a US or UK company that can move its spending onto Ramp's cards. If most of that spending is flights and hotels, the next app books the trip as well.
8. Navan - receipts from the trip, free for five
Navan books flights and hotels and handles expenses in the same app. Its expense tool is free for the first 5 people who claim in a month, then $15 a user. It connects the corporate or business cards you already have, scans receipts on the go and, Navan says, works with most accounting systems.
For a business of up to five people that makes expenses free, and booking travel is free as well for companies of up to 300 employees.
Navan
Navan books travel and scans its receipts in one app, with expenses at no cost for 5 claimers a month and $15 a user after that.
So Navan suits a small team that travels. For a UK team that would rather load cards with a set amount than set limits, the last pick works that way.
9. Soldo - prepaid cards with receipt capture, for UK teams
Soldo gives each person a prepaid card holding only what you load onto it, and receipts are captured in its mobile app and sent to your accounting software. Standard is £27 a month plus VAT for 3 users and 3 cards. Plus, at £39, reads the receipts automatically by OCR and adds wallets for team budgets.

Soldo
Soldo puts spending on prepaid cards that hold only what you load and collects each receipt in its app, from £27 a month plus VAT for three users.
If you want prepaid cards that collect receipts: Soldo
Soldo is receipt capture on prepaid cards, so nobody spends more than you load. Standard captures receipts in the app and connects to your accounting software, and Plus reads them by OCR. There's no free plan, but both come with a 30-day trial.
Where it stands out
- Prepaid cards with a set amount on each
- Receipts captured in the app
- OCR reading on Plus, £39 a month
Buy it if
- Your company is in the UK or Europe
- You want staff to spend only what you've loaded
Skip it if
- You want a free plan
- Your company is in the US, where Ramp is $0 a user
In the UK and qualify? Ramp
Ramp's UK Free plan is £0 a user, with receipts matched to each card purchase.
In the UK, Germany, Austria and the Netherlands, Moss works on the same idea, with company cards that fetch receipts and AI that reads them. It doesn't show a price. It charges one platform fee whatever the number of users, plus a fee based on how many transactions you put through.
Can you throw the paper receipts away?
In the US, yes, once the scans are kept properly. The IRS says paper originals may be destroyed once they're held in an electronic storage system that's been tested to meet its rules, set out in Revenue Procedure 97-22, and the IRS can test that system. A folder of phone photos isn't automatically one.
How long to keep them depends on the return. The IRS's general period is 3 years, or 6 if you left out income worth more than 25% of the gross income on it. In the UK, HMRC wants self-employed records kept for at least 5 years after the 31 January deadline for that tax year.
So whichever app you choose, check that it keeps the receipt image with each expense and lets you export both. If a scan misreads an amount, the picture is still there to show the real one.
So which receipt scanner app should you use?
All nine read receipts. What separates them is where the receipt has to go, and whether the free plan reaches that far.
My pick for most small businesses: Zoho Expense, free for up to 3 people with the sync to QuickBooks Online, Xero or Zoho Books, and $4 a user after that. If you claim alone and only need receipts read, Expensify does it free with no limit. If a bookkeeper does your books, use Dext.
With no accounting software yet, Zoho Books is free under $50,000 a year, Wave is $8 a month for unlimited receipts in the US and Canada, and FreshBooks suits freelancers who invoice clients. For company cards, Ramp is $0 a user if you qualify, Navan suits a team that travels, and Soldo gives UK teams prepaid cards.
Still between two? The three questions below ask where your business is, where your receipts need to go and who files them, and they'll give you one app with the reason behind it.
Three questions
Which receipt scanner app fits your business?
Answer for your business as it is today, and the recommendation updates as you go.
1Where is your business?
2Where do your receipts need to go?
3Who files receipts?
Before you answer
Zoho Expense, for most small businesses
For most small businesses, Zoho Expense: no charge for three people, and their receipts go straight to QuickBooks Online, Xero or Zoho Books.
The trade-off: If you only file your own receipts and don't need the sync, Expensify scans without a limit for free.
Prices as of 30 October 2026, in US dollars billed monthly. Soldo's price is in pounds, before VAT.
Questions people ask about receipt scanner apps
What is the best free receipt scanner app for a small business?
Zoho Expense, for most small businesses. It's free for up to 3 people, reads 20 receipts each a month and sends them to QuickBooks Online, Xero or Zoho Books. For one person who only needs receipts read, Expensify's SmartScan is free with no scan limit, and its QuickBooks and Xero sync is on the Collect plan at $5 a member a month. Prices as of 30 October 2026.
Can I throw away paper receipts after scanning them?
In the US, the IRS allows paper originals to be destroyed once they're kept in an electronic storage system that meets its requirements, set out in Revenue Procedure 97-22 and described in IRS Publication 583.Keep the image with each expense and make sure your app exports them. Records generally need keeping for 3 years, or 6 if more than 25% of income was left off a return. For UK businesses, HMRC asks the self-employed to hold records for 5 years or more after the 31 January filing deadline.
Does QuickBooks have a receipt scanner?
Yes. QuickBooks Online lists receipt capture on every plan from Simple Start, $38 a month, to Advanced.Xero's Early plan, $27 a month in the US, includes Smart Document Capture. If you already pay for either, try its scanner before adding a separate app, and add Dext when a bookkeeper handles a lot of receipts and supplier bills.
