The Best Free Invoicing Software in South Africa (2026)

Free invoicing software is real in South Africa. What is not real is the version of it in most articles, where the same six tools get listed as free and half of them are thirty-day trials with a card on file.

Right now, four tools have a genuinely free tier you can use indefinitely here. The useful question is not which of them is best, because on features they are much closer than anyone selling you one would like. It is which wall you hit first, because all four are capped and no two are capped on the same thing.

And let me be blunt about why that matters more than the feature list. The month you hit a cap is never a quiet month. It is the month you are busiest, with clients waiting, and you are moving your billing history to a new tool instead of billing.

That migration costs you a week you did not budget for, which is worth more than every rand you saved by picking free in the first place.

1. payPod, if you work alone

The most generous free tier in this market, and it is South African.

Unlimited invoices, quotes, clients, credit notes, delivery notes and purchase orders. Recurring invoices, expense tracking, client statements and accounting reports. No payPod branding on the PDF, which is unusual on a free plan and matters if you are invoicing corporate clients who will notice.

The wall is people. One user, and that is the whole limitation.

So it fits a sole trader almost perfectly and fails a partnership immediately. If a second person needs to raise an invoice, you are on Premium at R159 a month, which buys up to four more users. First month free, and three months free if you pay annually.

The one thing I could not establish from their site is which payment gateways it connects to, and for a South African invoicing tool, that decides how your clients pay you. Ask before you build a year of invoicing on it.

2. Odoo, if there are a few of you

Odoo inverts payPod's limitation exactly, and almost nobody writing about free invoicing mentions it because Odoo is filed under enterprise software.

Its One App Free plan gives you one app with unlimited users, free forever on Odoo Online. Pick Invoicing as your app and your whole team can raise invoices at no cost, indefinitely. If the app you choose depends on others, you get those too.

The wall is scope, and it is a hard edge rather than a slope. Install a second app and you are on a paid plan that day. So the free tier works precisely as long as invoicing is the only thing you want from it, and Odoo's entire commercial design is to make that stop being true.

It is also the heaviest of the four to set up. If you want to send an invoice this afternoon, this is the wrong answer. If you have four people and a year ahead of you, it is the only free tier here that does not charge for the second person.

3. Zoho Invoice, the one everyone means

When people say free invoicing software they usually mean this one, and it deserves the reputation. Zoho charged for it for thirteen years and then made it free.

The number that matters is the one most articles get wrong: 500 invoices a year, two users, and a maximum of three projects. Not unlimited, and not the thousand a year you will see quoted. Five hundred a year is about 42 a month. The free plan puts "Powered by Zoho Invoice" on the document, which is the price of a tool this complete being free at all.

For a South African business, its real limitation is that Zoho Invoice cannot put a local payment button on the invoice, so your client gets a PDF and you get an EFT to chase.

If you invoice a handful of corporates on 30-day terms, that is fine. If you are chasing forty small payments a month it is the whole problem, and the ranked guide explains why that decides more than price does.

4. Rebill, where free is a trial with the door open

The tightest free tier of the four and the most interesting paid one, which is not a coincidence.

Free gives you 10 invoices a month, five clients, five quotes, four catalogue items and 20 expenses. That is a real product rather than a demo, and for somebody invoicing two or three retainer clients it may never run out.

What Rebill is actually for sits behind the wall. Premium is R99 a month and it is the only tool in this article that connects to PayFast, Yoco, Paystack and iKhokha, and that sends the invoice on WhatsApp, with 20 credits included a month and R0.30 for each one after that.

For a South African business chasing payment, that combination is worth more than every free tier on this page. So treat Rebill's free plan honestly: it is the cheapest way to find out whether the paid one solves your problem, and five clients is enough to find out.

Free plans are worth using and they are not worth building a business around without knowing the wall. Every one of these four was capped somewhere you would not find out until the day it stopped, and the day it stops is usually the day you are busiest.
