7 Best Invoicing Software in South Africa (2026)
SA invoicing tools ranked on what gets you paid: local gateways, free-tier limits and real prices. Zoho, Rebill, payPod, FreshBooks, Xero, QuickBooks, Sage.

I ranked South African invoicing tools on the one thing that decides whether you get paid this week or chase somebody for a month: can your customer pay straight off the invoice, with a card, through a gateway that works here.
On that test the ranking changes shape completely. Two of the best tools for a South African business are built in South Africa, and neither of them shows up in the lists you have been reading.
I read every price at the vendor's own page this week. Here is what I would actually tell you right now.
How I ranked these
Four questions, in this order.
Can the customer pay from the invoice? A South African invoice with no PayFast, Yoco, Paystack or iKhokha button is a PDF asking politely for an EFT. That is the difference between getting paid on Tuesday and phoning someone on the 25th.
What does the free tier actually cap? Three of the tools here say "free" - and the free-only shortlist goes deeper than this page does. They cap different things - invoices, users, clients, projects - and the cap you hit first is the only one that matters.
Is the rand price real and current? If I cannot verify a price on the vendor's own page today, the tool does not get ranked. Where a tool bills in dollars, as FreshBooks does, you get the dollar price with its rand estimate beside it.
Last, does it grow into bookkeeping, or stay an invoice tool? Both answers are fine. Paying accounting prices for invoicing is not.

Zoho gives the most for nothing and cannot collect. Rebill collects and costs R99. That trade-off is the whole ranking.
Which is why the free winner and the overall winner are not the same tool.
The pattern in that table is the whole article. The two tools with local card gateways built in are the two built here. Of the four that scale into full accounting, only Xero can put a local pay button on the invoice, and only through integrations other companies maintain.
Nobody has built the one that does both natively yet.
1. Zoho Invoice - the best free invoice most SA businesses will ever need
Zoho Invoice is totally free. Not trial-free, not freemium-with-a-catch. Zoho charged for it for thirteen years and then removed the price tag.
You get 500 invoices a year, 2 users and 3 projects. It handles VAT fields properly, does recurring invoices, tracks expenses, and works in multiple currencies.

Here is the limitation, and it is not entirely detrimental: no local payment gateway. No PayFast, no Yoco, no Paystack, no iKhokha. Your invoice looks professional and your client still has to do a manual EFT.
For a designer with eight retainer clients who pay on time, that costs nothing. For a business chasing forty small payments a month, it costs you the thing you were trying to buy.
500 invoices a year is roughly 42 a month. Below that line, this is the best free tool in the country and it is not close.

2. Rebill - the one that actually gets you paid
Rebill is South African, costs R99 a month, and does the thing no global tool on this list does: it connects to PayFast, Yoco, Paystack and iKhokha. All four.
Your client opens the invoice and pays by card. That is the entire pitch, and for most small businesses here it is worth more than every feature above it.

It also sends invoices over WhatsApp, which in this market is not a gimmick. Premium includes 20 free WhatsApp credits a month, then R0.30 each. So a business sending 50 WhatsApp invoices a month pays R99 plus about R9, and Rebill's pricing page sets out that sum for you.
The free tier is tighter than it first looks: 10 invoices a month and 5 clients. The client cap usually bites first, and most write-ups leave it out. The free plan also has no pay buttons and no VAT calculations: both start on Premium.
What you give up: no live bank feeds (you import a CSV bank statement instead), and your accountant probably does not know it.
Best for: any SA business whose actual problem is getting paid rather than bookkeeping - tradespeople, salons, agencies, anyone invoicing customers who would tap a card if you let them.
3. payPod - unlimited free invoicing, if you work alone
payPod is the other South African build, and its free tier is the most generous here: unlimited invoices, quotes, clients and accounting reports - for one user.
Read that again if you are a sole trader. There is no invoice cap to outgrow.

It carries PayFast and Yoco, so the pay-now button works, just with two gateways rather than Rebill's four. Premium is R159 a month for up to five users, with the first month free and three months free if you pay annually.
The catch is the one-user ceiling. The moment a second person needs to raise an invoice, you are paying R159 - more than Rebill's R99, for fewer gateways and no WhatsApp.
So payPod wins alone and loses in a team. That is a clean line, and it is the whole decision.
Best for: the one-person business sending more invoices than a free cap allows. Unlimited invoicing at R0, with a local pay button attached.
4. FreshBooks - for billing hours, especially to clients abroad
FreshBooks is an invoicing tool built around time: you log hours against a project and they become the invoice. It bills South Africans in US dollars, $23R383 a month on its Lite plan for up to five clients, and it is running its own offer of $1R17 a month for the first year on Lite.
Set your business country to South Africa and every invoice shows a Tax Invoice Number, with fields for your VAT name and number, so it produces a SARS-ready tax invoice without a fight with the template. You can bill a client in rands or in their own currency.

The limit is how your clients pay. FreshBooks Payments works only for businesses in the United States and Canada, so a South African account takes online payment through PayPal. For a client in London or New York that is a real pay button; for a client in Polokwane it is not, and there is no PayFast, Yoco, Paystack or iKhokha option.
After the first year Lite is $23R383 a month, more than Rebill's R99, so the case for FreshBooks is the hours, the projects and the foreign clients, not the price.
Best for: freelancers, consultants and agencies who bill by the hour, especially to clients abroad who already pay by PayPal or card.
5. Xero - accounting, with a local pay button through two integrations
Xero is accounting software first: bank feeds, VAT returns and books your accountant can close. Its South African plans are R450 a month on Starter, R795 on Standard and R1 095 on Premium, and new customers get 80% off for the first three months. Xero says its prices rise from 1 November 2026.
It is the one accounting suite here that can put a local pay button on the invoice. Paystack has an app in Xero's South African app store, and PayFast runs its own Xero integration, switched on from the PayFast dashboard, which adds a Pay Now button to Xero invoices. The Yoco app syncs your Yoco sales rather than adding a pay button.

At R450 a month it is an accounting price for an invoicing job, which is the mistake the bottom line warns about, unless the books are the job. Once they are, the PayFast and Paystack connections are what separate it from the next two.
Best for: a VAT-registered business whose accountant works in Xero, and which wants customers to pay invoices by card through PayFast or Paystack.
6. QuickBooks Online - when invoicing has quietly become bookkeeping
There is a point where you stop having an invoicing problem and start having an accounting problem. Usually it arrives as your accountant asking for something you cannot produce.
QuickBooks Online is R322 a month on Simple Start for one user, R508 on Essentials and R708 on Plus, with real South African bank feeds behind the invoice. New customers can take 90% off for six months or 50% off for twelve.

Bank feeds are the actual product. Your transactions arrive automatically, reconcile against invoices, and produce books your accountant can work with instead of a folder of PDFs.
Two caveats before you act on that. Intuit discounts heavily and often, so check the price on the day - the rand figure moves. And like every global tool here, it cannot put a PayFast or Yoco button on your invoice.
If you are sending fewer than twenty invoices a month, this is accounting software you are buying to do invoicing. That is an expensive way to solve a cheap problem.
Best for: businesses past the bookkeeping threshold who need the ledger, the bank feeds and the accountant handover in one place.
7. Sage Business Cloud - if your accountant already lives in it
Sage earns its place on one thing: South African accountants know it. Its Accounting Start plan is R240 a month including VAT, Standard is from R435, and there is a 30-day free trial.
Those prices include VAT, so a VAT-registered business claims part of it back, and Sage sells both monthly and annually on the same page.
That familiarity pays off in hard terms: fewer billable hours, a cleaner year-end, and an accountant who stops asking you to export things.

It does bank feeds, VAT reporting and the full accounting spine. What it does not do is anything special for a business whose bottleneck is collection - no local gateway, no WhatsApp.
I would ask your accountant one question before buying it: what do you already use? If the answer is Sage, this is the cheapest good decision on the page. If the answer is anything else, the ecosystem argument evaporates and you should be looking at QuickBooks or one of the SA tools instead.
Best for: established businesses whose accountant is already in the Sage ecosystem. Buy the handover, not the feature list.

This is the table that should decide your shortlist, and it is the one missing from almost every other article on this subject.
The axis nobody else ranks on. A pay-now button is the difference between an invoice and a request.

Zoho Invoice's own gateway list runs PayPal, Stripe, Verifone, Braintree and Telr. Not one is South African.
So the global brands win on everything except the one thing that gets you paid here.
The global tools are not being lazy. They integrate with Stripe and PayPal because that is what their markets use. It just means that in South Africa, the more expensive tool is frequently the one that cannot collect your money.

One I did not rank, and why
Ranking a tool you cannot sign up for would make the table above worthless. So this one is named, not ranked.
Wave. It appears in every "best free invoicing" list on the internet. It also stopped accepting new businesses outside the United States and Canada. If you are starting today in South Africa, you cannot open an account, and existing South African accounts can no longer send invoices or reminders through Wave, only download a PDF or copy a link and send it yourself. I would not build on it.
Why we leave a price blank instead of guessing
A stale price in a comparison table is worse than no price. It is the reason readers stop trusting comparison sites. When we cannot verify a figure on the vendor's own page, we say so and link you to the source. Every price on this page carries the date it was checked.
The bottom line
Start with how you get paid, not with the brand you have heard of.
If your clients pay by EFT and you send under 42 invoices a month, use Zoho Invoice and spend nothing. If you want people to tap a card the moment they open the invoice, Rebill at R99 is the only tool here with all four local gateways. If you work alone and have outgrown a free cap, payPod gives you unlimited invoicing at R0. If you bill hours to clients abroad, FreshBooks, at $1R17 a month for the first year.
If your accountant is already asking for cleaner books, that is not an invoicing decision any more - Xero if you also want customers paying by card through PayFast or Paystack, QuickBooks for the cheapest way in at R322, Sage if your accountant already lives there.
The mistake is buying accounting software to solve an invoicing problem, then still chasing EFTs at month end.
