Best Expense Management Software in South Africa (2026)

Three expense-claim tools a South African business can use, priced for a team of five: Zoho Expense, Xero's expense add-on and Expensify.

I priced the expense-claim tools a South African business can actually buy at their own sites, for a team of five submitting claims and one person approving them. Three print a price, and only one of them prices it in rands.

The names that top most rankings, Ramp, Brex and BILL, do not serve South African businesses, so they are not here.

The three, priced for a team of five

Five people submitting claims and one approving them is a typical small office. Here is what each tool costs for that, and what it does beyond collecting receipts.

Zoho is free for three people and the cheapest for five. Xero is cheapest only if you already pay for Xero.

1. Zoho Expense - free for three, and priced in Rands

Zoho Expense is free for up to three users, with receipt scanning, GPS mileage and accounting integrations on the free plan. That covers an owner and two staff without spending anything. Past three, its Standard plan is R60 a user a month, or R45 billed yearly, with a minimum of five users, and it adds corporate card feeds for Visa and Mastercard, approval policies and WhatsApp capture.

My recommendations on Zoho Expense's plans

Starting out? Start free if three people or fewer claim. Receipt scanning, reports and GPS mileage cost nothing, and the paid plans are priced in rands.

Growing or switching? Move to Standard when a fourth person claims. Its five-user minimum makes it R300 a month.

Already on Xero? If your books are in Xero, its expense claims add-on from R69 a month puts every claim straight into them.

Every plan includes AI receipt scanning, expense reports, multi-currency expenses and accounting integrations. Prices exclude VAT.

Use it if a few people spend on the business's behalf, starting on the free plan and moving to Standard once a fourth person needs to claim. If your books are already in Xero, the next option may cost you less.

2. Xero expense claims - if your books are already in Xero

Xero sells employee expense and mileage claims as an add-on to any of its South African plans, from R69 a month, and you only pay for the employees who submit a claim that month. So the smallest bill is R519 a month: R450 for Xero Starter plus R69 for one person claiming. New customers get 80% off the plan for the first three months, which brings that to R159 a month while it runs. Claims land in the same books your accountant already works from, so there is no second system to reconcile.

Starting out? If you already use Xero, stay on your plan and add claims from R69 a month. If you're new to Xero and staff claim, start on Standard, because Starter's 20-invoice limit fits a sole trader.

Growing or switching? Move to Premium when you invoice or pay in other currencies.

Not on Xero? Zoho Expense is free for up to three people claiming and connects to other accounting software.

Use it if you are a Xero customer, for whom R69 a month for each person claiming is all it adds to the bill you already pay. For anyone not on Xero, it means buying accounting software to get expense claims, and Zoho's free plan does the claims alone for nothing.

3. Expensify - the simplest app for a travelling team

Expensify's app is the easiest here to hand to someone who travels: photograph the receipt and it is read, filed and sent for approval. Receipt scanning is free for everyone on its Submit plan. A business approving claims needs Collect, at $5R83 a member a month, with unlimited scans, card feeds, approvals, travel booking and Xero and QuickBooks integration.

Starting out? Start on Collect, $5R83 a member a month, if your team travels, because booking and claiming happen in one app.

Growing or switching? Ask for Control when one approval flow is no longer enough.

Next to Zoho? For five people claiming, Collect costs about R111 a month more than Zoho's Standard. It's worth it when travel booking saves time.

Use it if you run a sales or consulting team on the road, where booking and claiming in one app saves more time than the extra R116 or so a month costs over Zoho for five people.

Also worth knowing: Dext and SAP Concur

Dext captures receipts and supplier invoices into your accounting software rather than running staff claims, at $25.21R420 a month billed yearly for 250 documents and five users. It suits a business whose problem is getting paperwork to the bookkeeper rather than paying staff back.

SAP Concur is what larger companies use for travel and expenses together. It does not print a price and quotes each company, so it is not ranked here; it is worth a quote once you have dozens of people travelling.

Receipts SARS will accept

All three store a photo of each receipt, which is what an audit asks for. For a VAT-registered business, the receipt also has to be a valid tax invoice before you can claim the VAT back, and a till slip under R5 000 carries fewer details than one above it. So which one should you use?

All three turn a pile of slips into approved claims with a receipt behind each. Bringing the three together: start on Zoho Expense, free for up to three people and priced in rands after that. If your accounts are in Xero, add Xero's claims instead, from R69 a month for each person claiming. If your team travels and wants one app for booking and claiming, Expensify is the simplest, at $5R83 a person a month.
